For Attendees Who Require Advance Approval to Register

• Register online and then select “Check” as your payment method when checking out.
• In the “Check Number” box, please enter “TBD” if you do not know it.
• This will create a balance due or “pending payment” for your registration costs. The balance due will remain on your account until you have the necessary approval on your end. You will also receive a registration confirmation email showing the balance due that can be used as an invoice, if needed.
• Once you have the necessary approval on your end, please complete the necessary check payment instructions above.
• If you are paying by credit card instead of check, please go back into your registration and update your payment method to “Credit Card” and complete the checkout process.

Once you have a balance due or “pending payment” on your account, our registration team will follow up with an official invoice and payment reminders until the check is received or credit card payment has been made.

Cancellation Policy

Cancellation requests must be made in writing to brownfields@showcare.com.

• Requests made on or before 5:00pm ET on Friday, April 2, 2027 are eligible for a full refund.
• Requests received between 5:00pm ET on April 2, 2027 and 5:00pm ET on Friday, April 30, 2027 will incur a $25 processing fee.
• No refunds will be issued after 5:00pm on Friday, April 30, 2027.

Room Guarantee

• All hotel rates are quoted in USD and exclude taxes & fees. Hotel room rates are subject to applicable taxes and fees (currently 17.52%, subject to change without notice) that are in effect at check-out time.
• A credit card is required for each reservation and must be valid through at least July 2027. The credit card must be in the name of the guest, or a third-party authorization may be required. Your room is not reserved if you do not provide a valid credit card.
• You will receive an email from your hotel with your confirmation number approximately two weeks before arrival. If you do not receive it, please check your spam folder before contacting your hotel.
• The organizer takes no responsibility if a room preference is not available at check-in. Please visit the hotel website for check-in and check-out times. Should you need to arrive early, please book an additional night; early check-in requests cannot be guaranteed.
• Each guest must present a valid credit card upon check-in.
• Should you require changes to your reservation or have questions, please contact the housing partner, Showcare, at brownfields@showcare.com

Reservation Deposit

• A deposit equal to one night’s room and tax may be charged to the credit card on file. Should a guest desire to cancel, the deposit will be refunded if the reservation is cancelled at least three (3) days prior to arrival.

New Reservations, Changes, and Cancellation Policy

• The 2027 National Brownfields Training Conference Housing Partner, Showcare, will accept new hotel reservations, changes and cancellations until Tuesday, April 27, 2027, 5 pm ET, or until rooms sell out, whichever comes first.
• To ensure the hotels have the most up-to-date information, please re-access your registration/housing account before the deadline.
• After this date, no cancellations or changes can be made while reservation information is being prepared and transferred to the hotels.
• Reservations will be transferred to the hotels by Friday, April 30, 2027.
• Once reservation information has been transferred, cancellations or changes must be made directly with the hotel after Monday, May 4, 2027. Change requests will be made on a space-available basis.
• Cancellation requests received by the hotel seventy-two (72) hours or less prior to arrival and no-shows will be charged a one-night room and tax penalty, or the deposit will be forfeited, and the rest of the stay will be cancelled.
• The 2027 National Brownfields Training Conference is not responsible for no-shows or early departure fees charged by the hotels or rooms resold due to non-arrival.
